They deliver our people operations and services, including recruitment, HR support and payroll, and create development pathways that build the capabilities our business needs for the future. As a part of our reorganisation journey a newly designed fixed term role (two-year contract with potential to extend) is formed within HR team which is an intersection between HR operations and Payroll management.
Your Mission
As the HR & Payroll Coordinator you will be responsible for providing essential administrative and operational support across the People & Culture (HR) function. The role serves as a critical link between HR operations and payroll management, ensuring the smooth execution of employee lifecycle processes, data integrity, and compliance for Worldline Services Australia. This position supports the Head of HR in delivering efficient and effective P&C services to the business.
Day-to-day responsibilities
HR Operations & Employee Lifecycle
- Manage end-to-end administration for the employee lifecycle, including the preparation of employment contracts, variation letters, and other documentation for new hires, internal transfers, and promotions.
- Coordinate the onboarding process for new employees, ensuring all required documentation is completed and systems are updated in a timely manner.
- Administer the offboarding process, including conducting exit administration and deactivating employee system access.
- Serve as the primary point of contact for the HR inbox, responding to general employee and manager inquiries in a professional and timely manner.
- Maintain accurate and complete digital employee files within the designated HRIS (SuccessFactors) and UKG systems, ensuring compliance with company policy and privacy legislation.
Payroll & Systems Support
- Act as a designated backup for the Payroll Specialist, providing support during leave periods and peak processing times.
- Assist with payroll activities within the Micropay system, including data entry, reconciliations, reporting requirements, and month/year-end processes as required.
- Maintain the integrity and confidentiality of employee data across all P&C systems, primarily SuccessFactors and UKG.
- Perform periodic audits of HR data to ensure accuracy, completeness, and compliance.
- Support the continuous improvement of HR and payroll processes, documentation, and reporting.
P&C Projects & Administration
- Assist the Head of HR and the wider P&C function with the planning and execution of local and global HR projects and initiatives.
- Provide administrative support for performance management, training, and employee engagement activities.
- Perform any ad-hoc duties or assignments as required by the Head of HR.
Key Working Relationships
- Internal: Head of HR, Payroll Specialist, Employees and Line Managers across Worldline Services Australia, Global P&C counterparts.
- External: Potential contact with external vendors and service providers.
Who are we looking for
Essential Qualifications & Experience:
- A Bachelor’s degree in Human Resources, Business, or a related discipline.
- 1-3 years of proven experience in an HR administration, HR coordinator, or a relevant administrative position.
- Experience working in a fast-paced, professional environment; experience in a global organisation is advantageous.
- Basic knowledge of Australian labour laws and employment standards.
Technical Skills:
- Proficiency with the Microsoft Office Suite (Word, Excel, Outlook).
- Experience using HRIS platforms; specific knowledge of SAP SuccessFactors and/or UKG is highly desirable.
- Familiarity with payroll processing and legislation is preferred; experience with Micropay is advantageous.
