The Opportunity
The Executive Assistant supports the management team by coordinating tasks across departments, delegating responsibilities, and ensuring deadlines and budgets are met. The role fosters efficient collaboration with employees, finance, and other teams, while also identifying ways to streamline processes and enhance organizational effectiveness.
Day-to-Day Responsibilities
- Coordinating and scheduling meetings: verifying attendees, collecting data, preparing agendas, providing minutes and actions
- Front desk service, in terms of circulation of company correspondence
- Hospitality management
- Arranging travel for the line Manager
- Analyzing, preparing, and providing presentations
- Communicating with employers about projects or events, expectations, and goals
- Collaborating with employers, finance teams, and other team members on budgeting
- Delegating tasks to appropriate team members
- Managing deadlines and progress across the team to ensure the project is delivered on time and budget
- Organizing third-party providers and vendors to deliver elements that can’t be produced in-house
- Office events coordination
Who Are We Looking For

- Excellent command of Polish and English
- Experience working as an assistant in the field of administration or project management
- Proficiency in Microsoft Office
- Strong Organizational & communication skills

- Ability to work efficiently in a complex, dynamic, changing environment in a matrix structure
- Ability to work under pressure and keep deadlines
