The Opportunity

The Office Manager is responsible for creating and maintaining a pleasant work environment and for collaborating with CEE region team managers, HR, Facility Management, Health & Safety teams, and other employees, both remotely and in the office in Prague, Karlín – we have about 70 employees in the Karlín office and about 220 in all CEE. Our future office manager will handle all of the office tasks and more, allowing rest of our staff to focus on what they do best.



Day-to-Day Responsibilities

· Ensure the smooth running of the office and help to improve company procedures and day-to-day operation

· Front desk service – circulation of company correspondence including documents archiving, greeting and providing support to visitors

· Coordinating the office layout and ordering stationery and equipment

· Maintaining the office condition and arranging vital repairs

· Coordinating and scheduling meetings: verifying attendees, collecting data, preparing agendas, providing minutes and actions

· Analyzing, preparing, and providing presentations and simple reports

· Support HR with internal communication, preparing payroll, onboarding of new hires and other administrative tasks

· Organizing Training activities, both internal and external, support existing and launch new People Development programs

· Coordinating Health and Safety activities in cooperation with external provider

· Organizing third-party providers and vendors to deliver elements that can’t be produced in-house

· Office events coordination, organizing team buildings, celebrations and other employees events



Who Are We Looking For

· Experience working as an assistant in the field of administration or project management

· Master/Bachelor degree is an advantage, position is suitable for University Graduates

· Willingness to learn new things

· Strong Organizational & communication skills, common sense, optimism, patience and good sense of humour

· Passion for supporting others and anticipation of needs

· Ability to be accessible and friendly

· Attention to Details and problem-solving skills

· Proficiency in Microsoft Office

· Excellent command of Czech, good knowledge of English

· Ability to work efficiently in a complex, dynamic, changing environment in a matrix structure
