HR Service Delivery Specialist (Fixed - term contract 30.04.2027)

Day-to-day responsibilities

  • Prepare and submit accurate employee data and personnel documentation to the external payroll provider, ensuring compliance with labour law, completing required checks, and meeting monthly payroll deadlines.
  • Maintain and verify records of attendance, work schedules and hours, including overtime, night and shift work, and days off.
  • Verify holiday requests, e-ZLA sick leave, maternity and parental leave, and other absences.
  • Compile payroll changes, including salary updates, bonuses, incentives, commissions and voluntary or enforced deductions.
  • Monitor the validity of medical examinations and, in cooperation with the Health & Safety Officer, required training and refresher courses.
  • Advise managers and employees on employee relations, rights and entitlements, and HR policies and procedures.
  • Support local and international managers, employees and SPoCs with local HR processes, including labour law, payroll, personnel administration, performance management, bonuses, development and reporting.
  • Contribute to HR initiatives, including system implementation, new working schedules, and local policies and regulations.
  • Support Welcome Days for new joiners and ensure their personnel files are complete and accurate.
  • Promote compliance with local employment law and help protect the Company from potential violations.
  • Ensure data accuracy across HR, procurement and accounting systems.

Who are we looking for

  • Excellent spoken and written business communication skills in Polish and English.
  • University degree in HR, Business, Law, or Economics; HR and payroll courses are an advantage.
  • At least 4 years’ HR experience in a similar role.
  • Experience with HRIS/ERP systems, such as SAP SuccessFactors, is an advantage.
  • Experience implementing new work systems or HRIS and calculating payroll is a strong asset.
  • Very good knowledge of Microsoft Office 365.
  • Proactive, autonomous, and detail-oriented, with strong problem-solving skills.
  • Able to work efficiently, meet deadlines, and adapt in a dynamic international matrix environment.
  • Strong organizational and communication skills, with a positive, team-oriented attitude.
