The Opportunity
Reporting to the Head of Human Resources, North America, with a dotted line to the CEO, the HR Assistant role is integral in providing the most customer focused experience to our colleagues.
Day-to-Day Responsibilities
You’ll create a positive atmosphere everywhere you go by taking ownership over a variety of HR, Culture and Facilities accountabilities. You will:
Human Resources Administration
- Be responsible for benefits administration, including the administration of Equitable, Canada Life RRSP benefits, and any queries/questions relating to benefits that employees might have.
- Liase with Finance for Canadian payroll issues and updates.
- Own employee onboarding and offboarding functions, following the existing checklist for both Canada, as well as ensuring all relevant documents are up to date.
- Update and maintain MyHR (Global HRIS system), Who’s Off (time off request system), and coordinate with Finance on ADP ensuring 100% data accuracy.
- Maintain and update PeopleHub Confluence page, our local intranet with policies, processes and other needed links and information.
- Produce regular and adhoc reports, and/or HR KPIs. Respond to reporting and data needs from Worldline Group.
Culture
- Support the Head of HR and CEO in the promotion of culture and engagement at Worldline, in a changing physical/virtual office environment!
- Be a member of the Social Committee (SoCo) – you’ll keep track of what events we have planned, provide input to the chair on what we should do next, and help coordinate the events.
- Order food for events and functions at the office, as needed.
- Send out invites to events happening around the office and organize cards and gifts for special occasions.
Facilities
- Escalate facilities issues to the correct service provider, as they may arise. Manage our relationships with janitorial, cleaning, repair, and maintenance service provider contracts and service level agreements. You’ll also act as the liaison with our building management company.
- Greet and support new Worldliner joiners by ensuring they have a welcoming space with necessary office accessories for when they come into the office. You’ll also clear desks, assess chair condition, and recycle office accessories when Worldliners depart, or as needed.
- Coordinate the shipping or pick-up and drop off of equipment for Worldliners who are starting with, or leaving, Worldline.
- Schedule and perform the facilities tour for new Worldliners.
- Manage all inbound and outbound mail and courier services.
- Ensure all PCI requirements are followed, as a contact for the alarm system.
- Ensure we have adequate levels of supplies such as: office stationery, supplies, furniture, and other equipment.
- Help coordinate meetings as needed for the CEO and members of the Leadership Team.

- You are comfortable with MS Office: Outlook, Word, PowerPoint, Excel, as well as collaboration tools such as Slack, MS Teams
