The opportunity

As an HR Administrator at Worldline, you will be responsible for delivering high-quality HR administrative support throughout the employee lifecycle. The role focuses on processing HR transactions, maintaining accurate employee records, supporting pre-onboarding and personnel administration activities, and ensuring compliance with local legislation, GDPR, and internal policies. You will collaborate closely with HR teams and stakeholders across multiple countries, provide employee support, contribute to process improvements, and help deliver efficient, standardized HR services while meeting agreed service levels and quality standards.

Day-to-day responsibilities

  • Process end-to-end HR transactions in HR systems via the ticketing platform, ensuring SLA and quality compliance.
  • Establish and maintain effective communication with local HR teams and other stakeholders.
  • Provide knowledge sharing, onboarding support, and training to team members when required.
  • Manage all pre-onboarding activities, including pre-employment administration, HR system updates, and document preparation.
  • Maintain personnel administration activities, including employment contracts, personnel files, and compliance with local legislation.
  • Support employees with queries related to personnel administration and HR data.
  • Collaborate with internal and external stakeholders to ensure seamless HR service delivery.
  • Manage probation period administration and follow-up activities.
  • Maintain accurate and up-to-date employee data across HR systems.
  • Prepare periodic HR reports, dashboards, and data analysis for internal and external stakeholders.
  • Support the implementation of local and global HR initiatives, process improvements, and transformation projects.
  • Ensure confidentiality and compliance with GDPR and internal company policies.

Contribute to continuous process improvement and standardization across countries within scope

Who are we looking for

  • Minimum 2 years of confirmed experience in HR administration, ideally in a Shared Services Center (SSC) environment.
  • Fluency in English (oral and written) is mandatory.
  • Proficiency in another European language is a major asset. (polish, German, Spanish, Dutch, Czech)
  • Initial experience in team coordination or project management is highly valued.
  • Excellent command of HR Information Systems (HRIS) and ticketing tools.
  • Skills in data analysis and reporting (dashboard creation).
  • Knowledge of process mapping and improvement techniques.
  • Experience in Change Management.
  • Emotional Intelligence: Ability to recognize and manage one's own emotions and understand those of others.
  • Communication: Ability to communicate clearly, concisely, and in a manner adapted to the audience.
  • Problem-Solving: Ability to identify problems, analyze causes, and develop effective solutions.
  • Adaptability: Flexibility to adjust to new situations and overcome challenges.
  • Empathy and Positive Mindset: Ability to understand and share the team's emotions while maintaining a constructive attitude.
  • Stakeholder Management: Ability to build and maintain strong working relationships with internal and external collaborators.
